Client agreement

The purpose of this document is to outline the terms and expectations of our collaboration. Starting therapy/coaching with me indicates you understand that outlined herein and agree to the terms.

Services provided:
The purpose of body-centered therapy/coaching is to help you reach personal and professional goals through a holistic process that inspires you to reconnect with yourself, and maximize your potential. This is about your agenda and the shape of our work can be flexible and tailored to best support you. As your therapist/coach, I adhere to the code of ethics and standards of behavior set by the International Coach Federation “(ICF)” www.coachfederation.org/ethics. It is recommended that you review the ICF Code of Ethics and the applicable standards of behavior.

Billing and payment method:
Payment with a credit card via Stripe, or directly to the bank account via an invoice. Payment is due before the first session. If you have chosen to pay in installments (only for 10- session package), you are liable for the full and total amount of the package.

Nature of the Relationship:
The individual sessions are designed to follow your agenda. Therapy/coaching is a partnership, an alliance, between the service provider and the Client. You understand that therapy/coaching is not psychotherapy and is not a substitute for psychotherapy if that treatment is needed. You understand that therapy/coaching is not to be used as a substitute for professional advice by legal, medical or other qualified professionals and agree that, when warranted, you will seek independent professional guidance for such matters. You understand that all decisions in these areas are exclusively yours, and you acknowledge that your decisions and your actions regarding them are your sole responsibility.

Clients in psychotherapy:
You agree that if you are currently in psychotherapy or otherwise under the care of another mental health professional, you have consulted with the mental health care provider regarding the advisability of working with a therapist/coach and that this person is aware of your decision to proceed with the therapy/coaching relationship. If you wish to use mindfulness meditation (longer than 15 minutes) as a powerful tool for transformation and are currently receiving psychotherapy or any other mental health treatment you agree to inform your psychotherapist about this and make sure you get a green light from them.

Ground rules for our relationship:
1. For online sessions, client joins the therapist/coach at the scheduled time via Zoom. If the internet connection is too week for a video call, we will continue the call over WhatsApp or the phone. Client pays for long distance charges, if any. Support between the sessions – I believe that having continuous support works best for personal transformation and reaching our goals, and I am proud to be able to offer you support also between our sessions. I am available to you for brief responses (not therapy/coaching) or following up on your commitments in between scheduled sessions (via email). These times of contact are primarily for the purpose of supporting your accountability of goals and practices that you have already established. In challenging situations, should you need to schedule a session with me to deal with an acute situation, you send me an email and I will propose a time to connect as quickly as possible. Unless I am travelling I respond to messages or emails promptly and within 24 hours during working time Mon-Fri.

2. Client pays therapy/coaching fees in advance. If for some reason I am unable to continue with the work, you will get a refund for unused sessions. Coaching/therapy fees are nonrefundable, with the exception of specific cases where a client is unable to continue the therapy/coaching relationship. These specific cases are to be discussed with me.

3. To ensure continuality and best results of your investment, therapy/coaching sessions are best to be used within 2 months (for 4-session package) or 6 months (for 10- session package). 
You agree to schedule all sessions included in your package at the beginning of our work together. This ensures that the sessions are used within the designated time frame and helps secure the time slots that work best for you. Please note that you are always welcome to reschedule if needed.

4. You agree to take responsibility for getting what you want from the therapy/coaching process, and that if anything we do together doesn’t work for you or doesn’t “feel right,” you will bring it to my attention so we can explore other options.

5. You understand that you will get maximum results from your investment by showing up regularly, as well as doing your agreed-upon power work between sessions (ie. practices, reading, reflections, journaling, following through on your action steps etc.).

6. Follow-up – My duty is to make sure you’re well and comfortable with our process. If I don’t hear from you for a longer period of time after the last session, or if you keep cancelling our sessions, I will check in with you to make sure you’re doing well, and to check if there isn’t something about our process that perhaps doesn’t work for you anymore and needs to be addressed.

7. Luxembourg is a small country – if we meet outside, I will acknowledge you briefly, unless you ask me not to.

Cancellation/rescheduling policy and respecting the scheduled time for sessions:
Cancellation via Doctena or my Calendly scheduling system, OR a 24 hour advance notice by email to info@timeformindfulness.com is required to cancel or reschedule your session. If you miss your regularly scheduled individual session without giving 24 hours notice, the session will be considered a completed session. The only exception would be family or medical emergencies, supported with doctor’s certificate. If you are late in making your scheduled call, out of respect for others who may be booked immediately following your session, the session will end at its regularly scheduled time, irrespective of the length of the session, and will be considered a completed session. In the event that you fail to inform me about your delayed arrival and do not join the call or attend the scheduled session within 15 minutes of its commencement, I will no longer be available, and the session will be deemed concluded.

Confidentiality:
This therapeutic/coaching relationship is bound by the principles of confidentiality as they are set in the ICF Code of Ethics (www.coachfederation.org/ethics). The only reason I would break confidentiality is if I am required to do so by court order, if I believe you may harm yourself or another individual or if I believe that a child is at risk. In this case I will, after informing you about it first, notify local medical/emergency services.

Boundaries:
Therapy/coaching is a professional relationship and yet at times it may feel like a close personal relationship. Please know that it is not a relationship that can extend beyond professional boundaries.

Therapeutic touch:
Body-centered therapy may involve therapeutic touch with the consent of the client. While it can be a very powerful tool to study the client’s inner experience and for accessing deeply hidden patterns stored in the body, it’s important to note that touch is not necessary for the success of the therapy. Consent from the client is established before any therapeutic touch is applied, and it is done with the utmost care and respecting the client’s guidance.

Liability and dispute resolution:
You agree that you are responsible for your own well-being, decisions, choices, actions, and results. As such, you do not hold Silvija Zagar or Time for Mindfulness liable for your action or inaction, or the direct or indirect results of any services provided pursuant to this

Termination:
The therapeutic/coaching relationship can be terminated by either party with one week notice. Client agrees to compensate for all services rendered until the date of termination.

Acceptance of agreement:
Starting therapy/coaching with me, means you have read and accepted this agreement.

    ONE LAST THING: I am currently in a process of establishing further coaching credentials, therefore the ICF (International Coaching Federation) requests that I maintain a log of client hours noting ONLY the name, email and phone number of the client. During the review of my documents for credentialing ICF may contact a client to ask only one question: “Has Silvija Zagar been working with you?” At no time and under no circumstances is any other information concerning your sessions with me shared with ICF, nor would those contacted by ICF be requested to share any other information. If you consent to having your name and contact information shared with the ICF, solely in the highly unlikely event that they contact you, please select the appropriate option.
